Google review reply guidelines

  • Reply to every review — the positive ones too.
  • Respond within 24–48 hours; negative reviews first.
  • Never share private details about the customer or their visit.
  • Never offer incentives, refunds or discounts publicly.
  • Escalate legal, medical or safety complaints offline — keep the public reply short.

How it works

How the review response generator works

  1. 1

    Paste the review

Add the star rating, the reviewer’s first name if you like, and pick a tone: professional, friendly, empathetic or concise.

  2. 2

    AI drafts three replies

Each variant acknowledges specifics from the review, never promises what you did not offer, and keeps negative replies calm and offline-oriented.

  3. 3

    Edit, copy, post

Copy the one you like into Google Business Profile. Add your own detail — a real reply always beats a perfect template.

How the replies are written

The model writes from the review text, the star rating and the details you give it — nothing else. It is instructed never to invent facts, services, names or compensation, to reply in the language the review was written in (unless you choose another), and to return three variants of your chosen tone: a standard reply, a shorter one, and one that ends with a gentle call to action such as booking again or getting in touch. Your sign-off is appended as-is.
